Claims Coordinator
Claims Coordinator/Production Manager to oversee the claims process and manage production for our restoration projects in Ottawa. This role is integral to ensuring seamless coordination between insurance claims, project scheduling, and field teams, all while maintaining a high standard of quality and customer satisfaction.
The ideal candidate will have experience in both claims coordination within the restoration or insurance industry, along with a background in project management or production oversight in construction or restoration. This dual role requires excellent organizational skills, strong communication abilities, and a proactive approach to managing both clients and project timelines.
Key Responsibilities:
- Claims Coordination:
- Work closely with clients and carpenters to manage restoration claims from initiation to completion.
- Serve as the primary contact for clients during the claims process, keeping them informed and addressing any questions or concerns.
- Project Planning & Scheduling:
- Develop and maintain project schedules for restoration work, coordinating resources, labor, and materials to ensure timely completion.
- Communicate project timelines and milestones to clients, subcontractors, and field teams.
- Adjust project schedules as needed to accommodate unexpected changes or delays.
- Production Management:
- Supervise on-site teams to ensure that restoration work is completed to company standards and adheres to the project scope, budget, and timeline.
- Conduct quality control checks and inspections on restoration work, ensuring compliance with safety protocols and industry standards.
- Coordinate with subcontractors and suppliers, ensuring timely delivery of materials and completion of tasks.
- Documentation & Reporting:
- Maintain thorough documentation of each project, including work orders, change orders, expenses, and progress reports.
- Prepare and submit detailed reports for insurance companies and senior management, including project status, budget updates, and claims information.
- Client Relations:
- Build and maintain positive relationships with clients, providing regular updates and managing their expectations throughout the project lifecycle.
- Address any client concerns promptly, resolving issues effectively and ensuring a positive customer experience.
Qualifications:
- Experience: Minimum of 3-5 years in a related role within the restoration, construction, or insurance industry. Previous experience with insurance claims coordination and production management is highly desirable.
- Education: Bachelor’s degree in Construction Management, Business Administration, or related field is preferred, but equivalent experience may be considered.
- Technical Skills: Proficiency with project management and claims software (e.g., Xactimate, MS Project, Procore). Strong working knowledge of restoration techniques and industry best practices.
- Certifications: IICRC certification or equivalent is an asset. WHMIS and Working at Heights certification are preferred.
- Communication Skills: Excellent written and verbal communication skills, with a strong ability to manage client relationships and collaborate effectively with internal and external teams.
- Organizational Skills: Exceptional organizational and multitasking skills, with an ability to prioritize and manage multiple projects simultaneously.
